Order Screen Features (Details)
 |
Pick up information
- Once an account has been set up, the pick-up information will
be automatically populated with the customer's information (i.e.
name, address, suite/floor, city, postal code, phone number and
contact name) which will serve as the default information. This
information can and should be changed in case of a
third party pick-up or
reverse pick-up (follow the links
for further details regarding these special arrangements). |
 |
Delivery information
- The delivery information gives RD Delivery all the details
pertinent to a particular order. These details are essential in
order to accurately deliver your shipment. This process gets
easier as customers build their database by saving frequently
used addresses (see
save address
option). Populating the delivery information fields becomes
a very quick and easy step as customers build up their address
book since they can easily use the
address drop down bar or the
address look up field when
putting through an order (follow the links for further details). |
 |
Address
drop down bar & address look up field - The
address drop down bar and address look up field can be used to
speed up the process of putting through an order. Customers are
encouraged to build up their address book to take advantage of
these features. Click
here for further details regarding the address drop down bar
and a sample screen shot. Click
here for further details regarding the address look up field
and a sample screen shot. |
|
Reverse address option
- This feature enables customers to easily put through reverse
pick-ups (i.e. schedule a pick-up from another location to
be delivered to customer's location) and third party pick-ups
(i.e. customer schedules an order to be picked-up and delivered
to two different locations).
|
 |
Save address option
- Customer may choose to save addresses in their address
book by clicking on this field. A check mark will appear as soon
as you click your mouse in this field. There is one located
right beside the Pickup From area of the screen and one
right beside the Delivery To area as indicated in the
sample screen above. |
 |
Services (details)
- The fields specified under "services" include transport
type (i.e. bike, car, mini-van, full size van or overnight),
service level (i.e. same day, rush, direct, emergency, etc.),
return service (i.e. same day, rush, direct, emergency, etc.),
insurance (indicate insurance amount requested), number of
pieces, weight (in lbs or kg), requested by, and department.
Most of these fields have drop down menus for customers to
choose from. Required fields are indicated to let customers know
which fields they can or can not bypass. |
|
Department name
field and setting up a new department name - The
department name field is a required field that customers should
customize according to how they would like to track their
expenses afterwards. The department names should link to how a
particular customer may want to generate reports using the
search and report feature of RD Delivery's on-line system
(For example, certain customers may want to use internal
department names such as marketing dept, legal dept, etc.
Customers that are in the consulting industry however, may want
to put their clients' names instead for reporting purposes). |
 |
Pick-up time & date
- The pick-up time and date fields will automatically denote
the current time and date unless the customer overrides the
information. Customers may choose to put in a different pick-up
time and date for the following various reasons:
-
The package is not yet ready for pick-up
but will be ready after a specific time (e.g. a customer may
choose to submit an order at 9:00 am in the morning but
change the pick-up time to 12:00 noon since the package will
not be ready for pick-up until that time).
-
The customer is putting through a future
order (to be picked up and delivered on a specific day other
than the present date). For example, a customer may want to
put in a same day order for the following day that will be
ready at 10:00 am and can be delivered anytime between 10:
am - 5 pm. In this case, the customer will have to choose
the appropriate date by using the drop down button and type
in the appropriate pick-up time. [Note: It is important to
keep in mind that overnight requests do not fall in this
type of scenario. For overnight requests, the package will
have to be picked up on the date specified when the order
was placed (RD Delivery will pick-up anytime from when the
order was placed until 5 PM and deliver it next day
according to the time or service level specified. Therefore,
the package will have to be ready for pick-up when the order
is placed. Cut-off time to place the order is 3 PM.]

 |
Auto quote
- The auto quote section conveniently outlines the charges
associated with the order as the customer fills in the postal
codes for the pick-up and delivery location. It is also
important to fill in the other pertinent details that will
affect the charges such as the transport type (bicycle, car,
mini-van, etc.), service (same day, rush, direct, etc.), return
service, insurance and weight.
The various charges that you may see on the
auto quote section (as it pertains to a particular order) are as
follows:
-
Base rate (single zone charge)
-
Zone surcharge (charge per additional
zone crossed)
-
Gas surcharge (applicable to all except
for bicycle service)
-
Weight surcharge (charge on any
additional weight after 20 lbs or after 2 lbs for some
overnight requests)
-
Insurance (3% of the insurance amount
requested)
|

|
Email confirmation request field
- Customers can put in a request for an e-mail confirmation by
typing in the appropriate e-mail address. The system can take in
three different e-mail addresses for one particular order. The
e-mail confirmation will automatically be sent by the system to
the specified e-mail address once the driver closes the order
and enters a POD (proof of delivery). |

|
Special instructions
- A special instructions field has been provided for customers
to put in additional information that might be relevant or
important in order for RD Delivery to deliver the package
successfully. For example, some customers may choose to put in
the message "please leave in mailbox if nobody home" for
residential delivery requests. This would help greatly since RD
Delivery would know what to do instantly if it so happens that
nobody is at the delivery location to sign for the package. If
that particular instruction was not noted in the order details,
RD would need to call the customer which takes up time. If RD
Delivery calls and the customer is not there to give further
directions, then the driver would have to bring the package back
to the customer at the customer's expense. |
